The short version
- Who we are: Brighter Being Ltd, a small UK company in Wales. We decide how your information is used.
- What we collect: your account details, your body measurements, what you log (meals, nutrients, weight) and anything you connect from a wearable.
- Why: to set your calorie, protein and fibre goals and run the app. We use your health information only with your explicit consent.
- Your employer: if your employer pays for your access, they only ever see overall averages. They never see your name, logs, weight or anything else about you.
- We never sell your data or use it for advertising.
- Your control: you can see, change, download or delete your data at any time, including deleting your account in the app.
- Questions or worries? Email support@brighter-being.com. You can also complain to the Information Commissioner's Office (ICO).

2. What information we collect
Most of what we hold comes straight from you. The only other sources are a wearable or health app you choose to connect, and Apple or Google if you sign in with them.
| Information | What it includes | Do you have to give it? |
|---|---|---|
| Account details | Name, email address, password (stored encrypted), or your Apple or Google sign-in | Yes, we need these to create your account |
| Profile and body details | Date of birth, sex, height, weight, job type, activity level, and your goal (lose weight or build muscle) | Yes, we need these to work out your calorie, protein and fibre goals |
| What you log | Meals, nutrients and weight entries | No, but tracking won't work without them |
| Wearable and health app data | Steps, workouts and other activity data from Garmin, Apple Health or Android Health Connect | No, only if you connect one |
| Community chat | Your name, profile picture and the messages you post | No, only if you use chat. A profile picture is optional |
| Organisation code | The code your employer gave you, which links your account to their plan | Only if your employer pays for your access |
| Subscription details | Your subscription type, renewal date and status. Apple or Google handle your payment; we never see your card details | Yes, if you subscribe |
| App usage and device data | Which features you use, how long you spend in the app, device type, app version and crash reports | Collected automatically. You can switch analytics off in settings |
| Your messages to us | Anything you send when you contact support | Only if you contact us |
| Preferences | Push notification and newsletter choices | No |
We don't collect your location, contacts, card details, or data from marketing companies or public databases.
3. How we use it and our legal reasons
The law says we need a valid reason, called a "lawful basis", for everything we do with your information. Here is each one.
| What we do | Information used | Lawful basis |
|---|---|---|
| Create and run your account, and let you sign in | Account details | Contract: we need it to provide the app you signed up for |
| Set your calorie, protein and fibre goals, track your progress, and show your logs and wearable data | Profile and body details, logs, wearable data | Your explicit consent, because this is health information (see section 4) |
| Run community chat, including organisation chat | Name, profile picture, messages, organisation code | Contract: it's a feature you choose to use |
| Moderate chat and keep the community safe | Chat messages and reports | Legitimate interests: keeping users safe |
| Give you access through your employer and send them anonymous usage figures | Organisation code, app usage | Legitimate interests: providing the service your employer pays for. They only see averages (see section 5) |
| Manage your subscription | Subscription details | Contract |
| Send account emails, such as password resets and important changes | Email address | Contract |
| Send our newsletter and tips by email | Name, email address | Consent: only if you tick the box. Unsubscribe any time |
| Send push notifications | Device token, preferences | Consent: you choose on your phone and can switch off any time |
| Understand how the app is used and fix bugs | App usage and device data | Legitimate interests: improving the app. You can switch analytics off in settings |
| Reply to your questions | Your messages to us | Legitimate interests: helping you |
| Keep financial records and meet legal duties | Subscription and organisation billing records | Legal obligation |
We will never sell your information or use it for advertising. If we want to use it for something new, we will update this policy and tell you first.
4. Your health information and consent
Your weight, body measurements, food logs and wearable data count as health information, so the law gives them extra protection. We only use them with your explicit consent, which we ask for in the app when you sign up and again when you connect a wearable or health app.
- We use this information only to give you your goals and tracking in the app.
- We never share it with your employer, other users, advertisers or anyone selling anything.
- Data from Apple Health, Garmin and Health Connect is used only to run your features in Brighter Being, in line with those companies' rules.
- You can withdraw consent at any time by disconnecting a wearable in settings or deleting your account. Without it we can't calculate your goals, but you can still read articles, recipes and workouts.
Brighter Being gives general wellbeing information, not medical advice.
5. If your employer gives you access
Your employer pays for access, but we hold your information, not them. Using the app through work is your choice.
What your employer sees: a dashboard we email them with organisation-wide figures only:
- how many people have signed up with their code
- how many people use the app each week
- the average time spent in the app per user per week
What your employer never sees: your name, whether you personally signed up, your weight, food logs, goals, wearable data, global chat posts or how much you use the app. If fewer than 10 people from an organisation use the app, we don't send them any figures at all, so nobody can be singled out.
Organisation chat: colleagues who join the organisation chat can see your name, profile picture and anything you post there. Your employer may also appoint a member of its staff as a moderator, who can see and remove posts in the organisation chat.
If you leave, or your employer's plan ends: your organisation access stops. We keep your account for 3 months in case you want to carry on with your own subscription, then delete it (see section 9).
When staff leave, your employer may give us a leaver's name and work email so we can remove organisation access from that account. We never tell them whether that person had an account.
6. Community chat
The app has two chats: a global chat open to all Brighter Being users, and an organisation chat for people who joined with the same organisation code.
- Other users in a chat can see your name, profile picture and what you post. The same goes for comments and poll votes on our articles and videos: other users see your name and your comment.
- Think before sharing personal or health details in chat, because others will see them.
- We moderate the chats, along with any moderator an employer appoints for its own organisation chat, and may remove posts or suspend accounts that break our terms.
- You can delete your own posts. When you delete your account, your posts are deleted too.
7. Who we share information with
We use a small number of trusted companies to run the app. Each one may only use your information to provide its service to us, under a written contract.
| Who | What they do for us | Where they are |
|---|---|---|
| Google (Firebase) | Hosts the app's database, handles sign-in, app analytics and crash reports | USA |
| Google Workspace | Our email, for support messages | USA |
| Apple and Google | Sign in with Apple or Google, App Store and Google Play payments, Apple Health and Health Connect | USA |
| RevenueCat | Manages subscriptions and tells the app whether you have paid | USA |
| Garmin | Sends your activity data to the app if you connect your Garmin | USA |
| Kit | Sends our newsletter, only if you sign up for it | USA |
| Our app developer | Builds and maintains the app, with access to app systems | Pakistan |
We may also share information:
- With your employer: anonymous, organisation-wide figures only (section 5).
- With other users: your name, profile picture and posts, if you use chat (section 6).
- If the law requires it: for example, a court order or a request from the police.
- If the business is sold: the buyer would have to keep protecting your information under this policy, and we would tell you first.
8. Transfers outside the UK
Some of the companies above are based outside the UK, so your information may be processed in the USA and Pakistan. When that happens, we make sure it stays protected in one of these ways:
- USA: the company is certified under the UK–US "data bridge", which the UK government has approved, or we have signed the UK's approved transfer contract with them.
- Pakistan: we have signed the UK's International Data Transfer Agreement (IDTA) with our developer, which legally requires them to protect your information to UK standards.
Email support@brighter-being.com for a copy of these safeguards.
9. How long we keep it
We keep your information only while you use Brighter Being, plus a short time afterwards.
| Situation | What happens |
|---|---|
| You delete your account | Everything is deleted within 30 days |
| Your subscription or employer plan ends | We keep your account for 3 months so you can renew, then delete it |
| You stop using the app (no sign-in for 12 months) | We email you, then delete your account 30 days later if you don't sign back in |
| App analytics | Kept for 2 months, then automatically deleted |
| Support emails | Kept for 12 months after your question is resolved |
| Billing records for organisations | Kept for 6 years, because UK tax law requires it |
| Backups | Deleted information is removed from backups within 35 days |
Newsletter: if you unsubscribe, we keep just your email address on a "do not contact" list so we don't email you by mistake.
10. Your rights
You have these rights over your information. It's free to use them, and we reply within one month.
- See it: ask for a copy of what we hold about you.
- Correct it: fix anything wrong. Most details you can edit yourself in the app.
- Delete it: delete your account in the app settings, or ask us to.
- Take it with you: get your data in a common format to move to another service.
- Object: ask us to stop using it where we rely on legitimate interests, such as analytics.
- Restrict it: ask us to pause using it while a concern is sorted out.
- Withdraw consent: for health information, newsletters or notifications, at any time, in the app settings or by emailing us. This doesn't affect what we did before you withdrew.
To use any right, email support@brighter-being.com. We may ask you to confirm your identity first.
11. Complaints
If you're unhappy with how we've handled your information, tell us first at support@brighter-being.com. We will acknowledge your complaint within 30 days, look into it properly, and tell you what we've found and done.
If you're still not happy, you can complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
- Website: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113
- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF
12. Other things you should know
Age: Brighter Being is for adults aged 18 and over. If we find out someone under 18 has an account, we will delete it.
Automatic goal setting: the app works out your calorie, protein and fibre goals automatically from the details you enter. This is a simple calculation to personalise your goals. It doesn't make any decision with legal or similarly serious effects on you, and you can change your details or goals at any time.
Keeping your information safe: your information is encrypted when it travels between your phone and our systems and when it is stored. Only our founder and our developer can access our systems, using accounts protected by two-step verification. If a breach could put you at risk, we will tell you and the ICO as the law requires.
Our website: our website at brighter-being.com has its own cookie notice.
Changes to this policy: we review this policy regularly. If we make an important change, we will tell you in the app or by email before it takes effect. The date at the top shows when it was last updated.
